The Wake Up and Morning Preparation


A hostess's day begins long before the event doors officially open. Wake-up call set for 5:30 a.m. Preparation begins with a thorough beauty routine: an invigorating shower, followed by a strategic application of skin and facial care products. Maria, one of our veteran hostesses, says, "My beauty routine is my morning ritual. It helps me get into the right frame of mind for the day."


The choice of outfit is crucial. Stylish but comfortable attire, often provided by the agency, should perfectly match the tone of the event. A quick wipe with the iron, a tidy up of the hair, and understated but professional makeup complete the look.


Arriving at the Place


At 7:00 a.m., Maria arrives at the convention center. Travel can be stressful, but with good organization and a motivational music playlist, the journey becomes a time of mental preparation. Upon arrival, the first step is to register and take the briefing for the day.


Each event has its own specific quirks. "No two days are ever the same," explains Giulia, another of our hostesses. "Every event has its own dynamics, which makes the work challenging and never monotonous."


The Briefing


The morning briefing is a crucial moment. Hostesses meet with the event coordinators to receive final instructions. This includes an overview of VIP guests, main sessions, and any changes to the program. Briefing materials, venue maps and the latest logistical details are distributed.


"During the briefing, it is crucial to pay attention to every detail," says Francesca, one of our most experienced hostesses. "This is the time when you receive all the information you need to do a good job and anticipate participants' needs."


Doors Opening


At 8:00 a.m. the doors open. Hostesses are strategically placed at different points in the convention center: at the main entrance, at the information booths, in the conference rooms, and at the refreshment areas. The main task is to welcome participants, answer their questions and provide directions.


"Once, a participant asked me where conference room XYZ was, and I, with a smile, pointed him the wrong way," Laura, one of our younger hostesses, laughs. "Fortunately, I noticed the mistake right away and corrected it, but it was an embarrassing moment that taught me the importance of knowing the event map well."


Highlights of the Day


During the event, hostesses must be ready for anything. It's not just about providing information; they often have to solve problems in real time. For example, Anna, one of our hostesses, recalls an incident when a microphone didn't work during an important presentation. "I had to run backstage and find an audio technician as quickly as possible. It was stressful, but also extremely rewarding when everything was resolved."


Hostesses also have to handle unexpected events professionally. "Once, a VIP guest arrived late and we had to rearrange the whole program to accommodate him," Serena recounts. "It was a real test of nerves, but in the end everything worked out for the best."


Lunch and Break


In the middle of the day, around 1 p.m., there is a short lunch break. Often lunch is quick and eaten standing up. "I usually bring healthy snacks and a bottle of water with me," says Marta. "It is important to stay hydrated and have energy to face the rest of the day."


During the break, the hostesses share their experiences and support each other. It is a time for team building and relaxation before diving back into the thick of the event.


Afternoon Sessions and Networking


In the afternoon, the activity intensifies with parallel sessions, workshops and networking time. Hostesses must be ready to guide attendees to different areas, manage guest lists and make sure everything runs smoothly.


"One of the most rewarding aspects of my job is seeing the connections we help make," Claudia says. "A smile, a kind word or a courteous gesture can make all the difference in someone's day and facilitate new collaborations."


Closing of the Day


At 6 p.m., when the event draws to a close, the hostesses' work is not yet done. There is the disassembly phase, gathering feedback from participants and a final debriefing with the coordinators. It's a time to reflect on the day, discuss what worked well and what can be improved.


"Debriefing is key to growing professionally," explains Elisa, one of our coordinators. "Every event teaches us something new and allows us to continuously improve."


The day of a corporate event hostess is long and demanding, but also extremely rewarding. It requires a mix of professionalism, flexibility and a dash of creativity. Each day is an opportunity to learn, grow and make a difference for hundreds of participants.
